Retainer tracking for Harvest users

Looking for a Harvest alternative because of retainers? You may not need to switch trackers. HoursLeft imports your Harvest time report and does the retainer math on top: hours left, rollover, expiry and overage.

Time tracking and retainers are two different jobs

Harvest records the hours you work and tracks them against budgets. A retainer contract adds rules on top of those hours:

  • Included hours per month: "20 hours a month."
  • Rollover: "Up to 10 unused hours carry into next month."
  • Expiry: "Rolled-over hours expire after one month. The oldest are used first."
  • Overage: "Hours beyond that are billed at $200/h", or carried into next month.
  • Term changes: "From March, it's 30 hours at a new rate", without changing what was billed before.

If your setup can't express these rules, they end up in a spreadsheet next to your tracker. That's the spreadsheet HoursLeft replaces. See how the rules work in the rollover guide.

How it works with Harvest

  1. Export a detailed time report from Harvest as CSV, for whatever date range you like.
  2. Import it into HoursLeft. The Harvest format is recognized automatically. You pick which HoursLeft client each Harvest client belongs to, and exact name matches are pre-selected.
  3. See the balance. Every client's month shows included, rolled in, used, remaining, expired and overage. Copy the overage line straight into your invoice.
  4. Import again any time. Rows you already imported are skipped, so you can re-export the whole month without double counting.

You keep tracking time in Harvest exactly as you do today.

What you get

  • Hours left, live

Each client's balance this month, with a pace warning before you go over.

  • Rollover done right

None, capped or unlimited, with expiry after N months and the oldest hours used first.

  • Overage you can bill

Hours and amount per month at your rate, or carried into next month if that's your deal.

  • A statement your client can read

One read-only link per client that you can revoke or regenerate any time.

If your export has a Billable column, you can count only billable rows.

Simple, flat pricing

Questions

Do I have to stop using Harvest?

No. HoursLeft isn't a time tracker. Keep tracking in Harvest and import the CSV when you want an up-to-date balance, for example weekly or at month end.

Does it sync with Harvest automatically?

Not yet. Today it works with a CSV export. Re-importing is safe, because duplicates are skipped.

Which Harvest export do I use?

The detailed time report, exported as CSV. HoursLeft reads the date, hours, client, notes and billable columns.

What if my rollover clause is unusual?

HoursLeft supports no rollover, a cap, or unlimited rollover; expiry after 1-24 months; and overage billed or carried. Terms can change from any date. Try it on one real client for free.
